General Questions

What is Media Studio?

Media Studio is a tool that helps members easily manage, store and distribute multimedia content – photos, logos, videos, audio files, PDFs, and other mixed media. Media Studio is a complimentary benefit of membership.

Who can access my Media Studio?

Any user in your organization that has an Online Member Center (OMC) account will be able to access and make updates to your company’s Media Studio.

Do I have to be logged into the Online Member Center to see it?

You must be logged into the OMC to access your Media Studio.

How can I organize my files in Media Studio?

Media Studio makes it easy to organize your multimedia through the use of galleries, which you can use to create and edit to support your projects. You can organize your galleries by:

  • File type
  • Project or Campaign
  • Your Internal Departments
  • Geographic Region
  • Whatever works best for your workflow

It is also possible to move content from gallery to gallery or even delete galleries entirely. In short, the Media Studio allows you to customize the organization of your multimedia in a way that works best for you, your team and your projects.

What types of multimedia content does Media Studio support?

Media Studio supports a wide range of file types including:

  • Images: .bmp, .eps, .gif, .jp2, .jpeg, .jpg, .pdf, .png, .psd, .tif, .tiff, .wmf
  • Videos: .asf, .avi, .flv, .m4v, .mp4, .m2t, .mov, .mpe, .mpeg, .mpg, .ogg, .ts, .wmv
  • Audio: .m4a, .mp3, .ogg, .wav, .wma
  • Documents: .pdf

How long is content stored in Media Studio?

Your content will be available in the Media Studio as long as you remain a member and do not delete it.

Gallery Management

What is a gallery?

A gallery is an organizational tool that helps you add, edit and organize related media files. You can have as few or as many as you like.

What is the Uncategorized Media gallery?

This gallery contains your archived images, as well as any media files you have uploaded and distributed in the last year. You are free to move these files into different galleries and organize them to best support your projects.

How do I add a new gallery in Media Studio?

  • Enter the name of the new gallery in the text box located near the top left of your Media Studio
  • Click the “+” icon and your new gallery will be created and displayed
  • Begin adding media to your new gallery

How do I delete an existing gallery in Media Studio?

  • Click the “gear” icon ( ) to the left of the gallery that you wish to delete
  • A dropdown will be displayed below the selected gallery name
  • Select the Delete gallery option and a confirmation message will appear
  • Confirm the delete by selecting Delete

How do I edit the name of an existing gallery in Media Studio?

  • Click the “gear” icon ( ) to the left of the gallery to be renamed
  • A dropdown will be displayed below the selected gallery name
  • Select the Edit gallery name option and the gallery name will become a text box
  • Enter the new gallery name in the text box that appears and save it by selecting the checkmark to the right of it or hitting enter on your keyboard

How do I move files from one gallery to another in Media Studio?

  • Select the gallery that includes the file(s) to be transferred
  • Select the Transfer Asset icon ( ) and an unselected checkbox ( ) appears for every file in the gallery
  • Identify all of the files to transfer to another gallery by selecting the file checkboxes. Once selected these will be marked with a checkmark ( )
  • Once all the files that you want to move are checked, select the Select Gallery icon ( )
  • A drop down list of all existing galleries will appear. Select a gallery from this drop down list as the destination gallery for the checked files and select the Move button
  • The selected file(s) will be transferred from the current gallery to the destination gallery

File Management

How do I add my media files to Media Studio?

  • Select the gallery where you would like to add media or create a new gallery
  • Select the Add Media button and choose from two options, Add from my computer or Add from URL
    • Select Add from my computer to open the Add Media page. On the Add Media page, you can:
      • Drag and drop files that you want to upload into the space that says Drag files here
      • Select the Add Files button at the bottom of the Add Media page to open a file selection window
        • Navigate to media files on your computer that you would like to add
        • Select a single file by double-clicking it or select multiple assets by holding the Shift key while selecting the assets and then selecting the Open button
        • The media files that you have added will be listed on the Add Media page and the Start Upload button at the bottom of the page will become enabled
        • Select the Start Upload button at the bottom of the Add Media page
    • If you have the direct link to an image or video online, you can add it in the Media Studio by selecting Add from URL
      • In the Paste Asset URL field in the Add from URL window, paste the full URL
        • URLs must end with a supported file extension. Supported file types can be found in the General Questions category.
        • To copy the URL of an image that’s hosted online, right click the image and select Copy Image URL.
      • In the second field, enter a brief description of your asset. (Two to three words are recommended.)
      • Select Upload
  • The upload process will begin and the Add Media Details page will appear when all files have finished uploading.
  • When you are finished adding media details select the Save button at the top of the Add Media Details page

Pro Tip: Add details to your files now to make it easier for you to find them later via search.

What are the file requirements for photo distribution?

Any file resolution is accepted for storage in Media Studio, but to distribute your photo you must follow our minimum suggested resolutions for photo distribution:

For US photo distribution:

  • Web distribution: 800 pixels on the longest side
  • AP Photo Express distribution: 2700 pixels on the longest side

For Canadian photo distribution:

  • Between 1200 and 2000 pixels on the longest side and 600 pixels on the shortest side

You can find your photo’s resolution details by either hovering over the thumbnail image in a gallery or going to the photo’s detail page and checking the Resolution field.

How can I search for files in Media Studio?

  • Enter your search terms in the Search Media field on the right side of the screen
  • Media Studio will return results for any content that matches the search terms that you entered
  • Media Studio searches across all media details, including filename, caption, tags, and other metadata fields. To maximize results, use the Advanced Search function. With advanced search, you can search by the following fields:
    • Asset Type: image, video, audio, PDF
    • Caption
    • City
    • Copyright Notice
    • Country
    • Creator
    • File Extension (i.e., .jpg, .gif, .mp4, .mp3)
    • File Name
    • File Source
    • Gallery Name
    • Media Contact
    • Province/State
    • Tags
    • Uploaded Date

Pro Tip: The more details that you add to your media files, the easier it will be for you to find them through search.

How can I sort my search results?

  • Click the "Filter and sort" button to the right of the search field to apply filters and sort results by the following categories:
    • Filename
    • Uploaded date: Last 24 hours, Last 7 days, Last 365 days
    • File State: All uploaded files, all previously distributed files or archived files only
    • Asset Type: Image, Video, Audio, Document
    • Gallery name

Pro Tip: You can select multiple categories at the same time. Search results will update automatically on the left side of the screen.

How do I delete a media file from Media Studio?

  • Select the gallery that includes the file that you want to delete
  • Hover over the file that you want to delete and select the Trash icon
  • Click through the pop-up message and press Delete
  • You also can delete a file when you are on its Media Details page
  • Select the Trash icon in the top right corner of the file
  • Click through the pop-up message and press Delete

How do I view file details in Media Studio?

  • Select the gallery that includes the file that you want to view
  • Hover over the file’s thumbnail and select the View icon
  • You will be taken to the View Media page, where you can view the details and the metadata associated with the file

How can I edit the details or metadata related to a file in Media Studio?

  • Hover over the file’s thumbnail and select the View icon
  • You will be taken to the View Media page, where you can select the Edit button
  • Make changes to the file’s metadata fields (such as the caption or tags), or you can add additional fields, such as the copyright field
  • Once you have completed making your changes, select the Save button to save your changes.

How can I crop an image in Media Studio?

  • Select the gallery that includes the file you want to crop
  • Hover over the file’s thumbnail and select the View icon
  • On the Media Details page, select the Crop icon in the top left corner
  • The Crop image window will open and you’ll be able to crop the image to your preferred size
  • Select Save and the newly cropped image will appear on the Media Details page

How do I download a file that I have stored in Media Studio?

  • Hover over the file’s thumbnail and select the View icon
  • You will be taken to the View Media page, where you can select the Download button

What does the cloud with the checkmark icon mean?

This icon identifies a file that you have previously distributed and archived for reuse with a news release at no additional fee. ( )

What does the cloud icon mean?

This icon identifies a file that you have previously distributed. ( )

What does the yellow triangle icon mean?

This icon identifies an archived file that is within 90 days of its expiration date. The yellow triangle icon will always appear next to the cloud with checkmark icon.

How can I distribute multimedia content from Media Studio?

  • Select the Send a News Release tab in the top navigation and upload your text content
  • In Step 2: Add Multimedia, any media files that you have stored in your Media Studio will be available in the Media Studio slider. You can navigate through your files using the arrows to the left and right of the slider. You can also use the Search box to enter search terms to quickly find your content.
  • Select the media files that you want to distribute by choosing the Add to Order button under each file
  • For US customers: If you select an image file, you will be prompted to select a distribution package
  • For Canadian customers: You will be prompted to choose a Language – English or French
  • For all files, you will be asked to confirm caption information
  • Once you have completed these steps, your selected media files will be visible on the right side of the order form
  • Complete the remainder of the order form and submit your order.

How do I renew or cancel an asset that is expiring soon?

Please note: The following information applies only to select customers.

When an archived image’s expiration date falls within 90 days of the current date, you will have the ability to renew or cancel the image in your Media Studio. If there are expiring images on your account, the Notifications (bell) icon at the top of the View Media page will display a red circle with the number of images that are expiring.

To cancel or renew archived images:

  • Select the Notification (bell) icon
  • In the Assets Expiring Soon section, select the See All button
  • You will be taken to the Renew Assets page where you can view all of your expiring images. You will be presented with two options in the Action column:
    • Select Renew to renew the image for a discounted rate and have the ability to reuse the image on all content at no charge for one year.
      • The Renew Asset window will open and you will be prompted to approve the renewal. You will also have the option to update the image caption at no charge. Select Yes to renew the image or No to go back to the Renew Assets page.
    • Select Cancel Renewal to cancel renewal of the image.
      • The Cancel Asset window will open and you will be prompted to approve the cancellation. Select Yes to cancel the image or No to go back to the Renew Assets page.

You can also access the Renew Assets page by selecting the yellow triangle icon in the lower right corner on the expiring image’s thumbnail. The yellow triangle icon will appear on all expiring images.

How can I add media from my Twitter account to Media Studio?

Media Studio can pull media directly from your Twitter account into Media Studio to make multimedia distribution even easier. To begin syncing media from your Twitter feed automatically, you’ll need to turn on automatic Twitter ingestion.

To turn on automatic Twitter ingestion in Media Studio:

  • Link your OMC account to your Twitter account
    • At the top of the Media Studio page, select My Details. Add your Twitter account(s) under the Add Twitter Accounts section at the bottom of the page.
  • After your Twitter account has been added, select the Notification (bell) icon at the top of the View Media page in Media Studio
  • In the Twitter Assets section, move the ingestion toggle from Off to On.
  • Twitter ingestion is now on. Assets will begin to filter into Media Studio within 24 hours.

Twitter media will be added to a new folder called Twitter. You can also access Twitter media from the Notifications icon by selecting See All in the Twitter Assets section.
